The phone line is the bottleneck. Most calls are routine — appointment changes, quick questions, prescription refills. This routine ties up the medical assistant while the actually important calls hang in the queue. At the same time, patient communication via email or messenger becomes legally tricky under GDPR because most channels do not offer data processing agreements with German hosting. Multilingual patients add to the problem, especially in major cities.

Appointment assistant with structured anamnesis pre-screening that distinguishes between first and follow-up appointments, recognizes wait-time-critical complaints, and routes to emergency escalation when appropriate. GDPR-compliant patient communication via web form and SMS, with documented consent per channel. Multilingual reception via AI that translates reliably between German, English, French, Russian, Ukrainian, and Arabic — with particular care for medical terms that laypeople must not misinterpret. Integration with common practice management systems via their official interfaces.

A practice for general and aesthetic medicine in Düsseldorf uses our multi-agent system for multilingual patient communication. Three specialized sub-agents — one for treatment questions, one for appointments and practice organization, one for medical qualifications — work under an orchestrating main agent. Voice integration via a German provider with a local phone number. The practice saves noticeable time at the front desk and reaches patients in their native language.

Regulatory context

GDPR is the baseline; the German Federal Data Protection Act (BDSG) and the Patient Data Protection Act add to it. On top come the medical confidentiality obligation under § 203 of the German Criminal Code, and — depending on specialty — the German Telematics Infrastructure. We build so that patient data is processed exclusively on servers in Germany, that no model is deployed without a data processing agreement, and that the practice can trigger a complete data export and clean deletion at any time.
